Special Access Options

In some use cases, a user may require access to sites, files, folders or teams that are outside their assigned Stova Team.

Users require access to additional Stova teams in one of the following use cases:

  • You need to collaborate with another Stova team that is outside your Stova team.
  • The teams are collaborating on event registration sites.
    You need access to a limited number of Stova teams within your college, business unit or department.
  • You need access to all Stova teams within your college or business unit.

Note: If the goal is to share event reports or data, consider the Custom Reporting and Report Users features. These features allow coordinators to share reports with people who do not have (nor need) an Stova user account.


Special Access Options

For these cases, we offer the following special access options:

Collaboration Protocol

  • You have an existing Stova user account; and
  • You need to collaborate on a Stova event registration which was created and is managed by Stova users in a different department.

The Collaboration Protocol allows Stova users who work in a unit outside the team managing the event registration to have access limited to a “shared folder” which is within the host team’s folder. Requests will be reviewed and approved by a representative of the Stova team hosting the event.

Restricted Business Unit Access

  • You have an existing Stova user account; and
  • You work in the Business Office of your Business Unit; and
  • You require access to a limited number of Stova team folders.

The Restricted Business Unit Access in Stova allows a user to view a limited selection of team folders under the Business Unit’s umbrella. Requests will be reviewed and approved by the Dean/VP or an administrator who reports to the Dean/VP.

Business Unit Level Access

  • You have an existing Stova user account; and
  • You work in the Office of the Dean or Vice President of your unit; or
  • You or your department provide Stova services and support to the entire Business Unit.

The Business Unit Level permissions in Stova allows a user to view all team files and folders under the Business Unit’s umbrella. Requests will be reviewed and approved by the Dean/VP or an administrator who reports to the Dean/VP.
