Self-Scan - check-in using a laser scanner and laptop
The Self-Scan option allows the use of a barcode that can be laser-scanned to speed check-in. Good for medium- to large-sized crowds checking in over a short period of time.
You can use either a hand-held laser-scanner and laptop with your team of volunteers; or a kiosk self-check-in system that includes a tabletop laser scanner and computer.
You must provide your attendees with a barcode before they arrive at your event. A barcode can be included in an email using the barcode merge code (*/barcode/*). It's common to include the barcode in either the confirmation email or a reminder emails sent prior to the event.
Note: Stova provides merge codes for barcodes and QR codes. You MUST use barcodes with Self-Scan and hand-held laser scanners.
How to use scanners for check-in
To use, connect a laser-scanner to a laptop. On the laptop, log into your Aventri account, go to your event. Your event must be in either "Live" or "On Site" status. Then go to the Reports & Functions page, and click the Self-Scan link under the Special Function sections. This will open up a special webpage for scanning. You must be in this page when using laser scanning.
Scan a barcode. The webpage will fill in the code number. If the attendee is checking in, you will get a green light on the scanner and message that the attendee has check-in. If the attendee has already checked in, you will get a red light and a error message that the person has already checked-in.
Reserve scanners
The Office of University Events & Protocol has a number of hand-held laser scanners available for check-out. To submit a reservation request, download the reservation form and email the completed form to aventri@asu.edu.
Note: Scanners are not available for check-out during the weeks of finals or graduation ceremonies.
