Virtual & hybrid event features

There are two options available to ASU users who would like to use Stova for virtual and hybrid events - Free and Paid.

Free

  • Use with third-party video platforms (i.e. - Zoom, WebEx, etc.)

Paid

  • Use Stova's built-in webinar and meeting features
  • Requires contract with Stova. Contact Stova @ ASU admins if interested.

Features included in both options:

Login Page

The Login Page is linked to the event's Stova registration site, providing event and link security, ease of communication with attendees using Event Emails, basic reporting and a single point of entry to all the links of your scheduled sessions.

Virtual Lobby

The Virtual Lobby provides a simple and clear display of the day's scheduled sessions, including links to the sessions themselves or videos (pre-recorded or recordings of previous sessions).

The Lobby also provides the option of added features for engaging with the audience.


Free version

Third Party links

You can use external technologies option to work with third-party video platforms, such as Zoom, WebEx, GoToMeeting. 

To use this option you would create your webinar or meeting session in the third-party platform and program the links in the Sessions of Stova. Be aware that much of the production - creating meetings, running the meetings, recording meetings - would all be done in the third party platform, not Stova.

Share Recordings of Sessions

After your third-party platform has recorded a meeting, you can post the recordings in the Stova registration site. Attendees can return to the Virtual Lobby anytime during or after the event to view session videos.

Reporting

Stova registration site would record when an attendee clicks a link to a session.

Paid version

The complete Stova Virtual Event solution provides many additional features.

Presentation or Meeting

A session can be a Presentation (think "webinar") with the focus on presenting to a large group of people and little interaction with your attendees (questions in a chat-like manner) or a Meeting (like Zoom) used for small groups of people but options for attendees to use mics, webcams, in addition to questions.

Third Party links

You can also choose to use external technologies, such as Zoom, WebEx, GoToMeeting. (Be aware that much of the production using third-party platforms - creating meetings, running the meetings, recording meetings - would be done in the third party platform, not Stova.)

Video Presentations

You can upload a pre-recorded video as a session.

Show Slides, Videos or Share Desktop

Presenters can upload PDF files of their slide shows, play videos, or share their desktops during their presentations.

Recording Sessions & Sharing the Videos

The platform can record Presentation and Meeting sessions and share automatically after the session is ended, or you can selectively decide which session videos to share with attendees. Attendees can return to the Virtual Lobby anytime during or after the event to view session videos. Plus you can download videos for your archive. 

Note: this is not available for any sessions using third-party (external technologies) links. However, recordings provided by third-party platforms can be uploaded to the Virtual Lobby.

Reporting

Stova will take attendance automatically for your Stova sessions, including how long attendees stay in the session.

If you are interested in the complete Stova Virtual Event solution, contact the Stova @ ASU staff by email. Using the Stova Virtual Event solution requires an addition to our existing contract.

Contract Process (Stova Virtual Event solution only)

We will notify the Stova Account Manager who will work with you to create a Statement of Work (SOW). 

Units negotiate a Statement of Work (SOW) with Stova. Once complete, units (or their business office) attach the SOW to a requisition (REQ) in the Financial Management System (FMS). Putting a requestion in the FMS (Workday) generates a Purchase Order (PO) which pays Stova.

Note: This assumes the SOW dollar amount is less than $25K. (If the SOW is higher than $25K, ASU Procurement may need to be more involved.)

Keep the Stova @ ASU admins in the loop so we can give Procurement a heads up and ask/answer questions for them. 

One thing Procurement wants to make sure of, however, is that there are no legal terms and conditions in the SOW, only business terms and that both parties agree to them. Procurement needs as much detail as possible.
