Stova@ASU Data Policy

ASU Units that sign up for ASU Stova user accounts and use the Stova services do so with the following understanding:

  1. All websites created using the Stova event management platform are covered by the ASU Privacy policy.
  2. The Office of University Events & Protocol (OUEP) maintains and manages the Stova event management platform on behalf of Arizona State University.
  3. The Office of University Events & Protocol (OUEP) may gather and disseminate data from the Stova service for general reporting purposes that include, but are not limited to, monitoring service usage, number of events, number of event registrations and attendance, etc.
  4. That all Personally Identifiable Information (PII) of event registrants and attendees collected and stored by a Stova event registration site belongs to the ASU unit hosting the Stova event registration.
  5. Personally Identifiable Information (PII) of registrants and attendees belonging to an ASU unit will not be shared by the OUEP with other ASU Units or entities without the Host Unit’s knowledge or consent.
  6. ASU Units may report, share and disseminate the Personally Identifiable Information (PII) of event registrants and attendees of their Stova events at their own discretion.
  7. Any ASU Unit or Organization outside the Host Unit that would like information regarding the registrants and attendees of an event hosted by the Host Unit, including Personally Identifiable Information (PII), must request the information, and permission to use the information, directly from the ASU Host Unit.
  8. Any ASU Unit or Organization outside the Host Unit that would like information regarding the registrants and attendees of all events hosted on the Stova service, including Personally Identifiable Information (PII), may submit the request to the Office of University Events & Protocol (OUEP).
    1. The OUEP will submit the request to all ASU Host Units on behalf of the requesting ASU Unit or Organization.
    2. After receiving the consent of the ASU Host Unit, OUEP will provide the requested information to the requesting ASU Unit or Organization.
    3. Requests for information must include:
      1. Name of Person and Unit placing the request
      2. Specific data/information requested (such as names, addresses, phone numbers, ID numbers, etc.)
      3. Purpose of request – how will the provided information be used?
      4. Frequency of report – Is this a one-time request for information, or is the request for a recurring report delivered at timed intervals (i.e. – weekly, bi-weekly, monthly, etc.)?
      5. The requesting ASU Unit or Organization must agree to provide to the Office of University Events & Protocol (OUEP) and to the ASU Host Unit copies of any printed materials, such as articles, reports, publications; and/or URLs of any web-based materials which use the information provided.

Data Requests may be sent to Stova @ ASU via email. Processing time for requests vary based on amount, type and source of data requested.
